Parish Administrator, Christ the King, Reading

The Parish of Christ the King, Reading, are recruiting for a Parish Administrator – 6 months fixed term contract (maternity cover).

Hours of work: 15 hours per week

Salary: £12 per hour

Job Purpose: 

Office management and general administrative services

  • Manage church diary, and book mass intentions.
  • Assist with administration of parish events.
  • Arrange appointments and set up committee meetings when requested.
  • Order supplies for church, including office equipment and stationery, communion supplies, maintenance items, sacramental items, sacristy supplies and hall supplies.
  • Oversee the maintenance of equipment in the parish office.
  • Ensure a safe and clean working environment within the office.
  • Review and implement procedures to ensure clear, efficient and effective office operation.
  • Keep church registers up to date.
  • Produce themed booklets and organise timetables pertaining to Advent, Christmas, Lent and Easter. Ensure confidentiality at all times.
  • Maintain property management system.
  • Encourage and work with volunteers where this is desirable and practical.
  • Provide administrative support for all sacramental programs, especially First Holy Communion and Confirmation.
  • Generally assist the priest with matters relating to the parish as necessary.
  • Co-ordinate list of sick and housebound parishioners.

Parish communications

  • Manage all parish correspondence, including post and email, with a high degree of professionalism.
  • Co-ordinate occasional parish mailings, both paper and electronic.
  • Act as first point of contact for all enquiries, whether in person, by phone, post, or email, ensuring they are dealt with politely and professionally, and followed up by appropriate action.
  • Provide administrative support to the priest for all matters relating to baptisms, funerals and weddings, including dealing with enquiries, communication with undertakers, bookings, registers, certificates, materials and payments.
  • Produce, update and distribute parish handbook.
  • Design of posters to advertise parish events.
  • Facilitate communication between parties involved in parish projects or areas of concern.
  • Prepare and circulate parish duty rosters.
  • Drafting and distribution of weekly parish newsletter.

Systems to Update and Maintain

Financial administration

  • Provide administrative support to the finance committee, including attending a quarterly meeting, preparing agenda and taking minutes.
  • Operate the accounts software, including accurate data entry and producing required reports.
  • Check bank statements and follow up any queries.
  • Manage accounts payable and receivable for the parish.
  • Maintain financial records.
  • Assist weekly collection counts in parish.
  • Purchasing stamps and keeping petty cash account.

Parish Registration

  • To update and maintain Registration of Parishioners for CTK
  • Data entry of information from hardcopy or emails
  • To produce reports when required

Property System

  • To update system and co-ordinate property maintenance for all buildings

Hall management

  • Manage/update bookings for parish hall.
  • Liaise with regular weekly users and invoice monthly.
  • Take payments.
  • Respond to enquiries regarding hall.
  • Arrange for any maintenance of hall.

The Department of Administration are recruiting for a IT Technician, based at St Edmund’s House, Portsmouth.

Hours of Work: 37.5 per week

Salary: £25,000 per annum

Job Purpose: The post-holder will support the needs of the Diocese allowing it to operate in a cyber safe and secure way in line with the IT Parish Blueprint.

  • Manage the IT Support desk and support all aspects of IT across the Diocese, supporting remotely where possible and travelling to Diocese sites where necessary.
  • Assist with the development and implementation of new IT projects that support business requirements.
  • To provide high quality IT Services and support to all users throughout the Diocese whilst demonstrating excellent customer service
  • To maintain strong and effective partnerships with third party suppliers who provide IT solutions and services to the Diocese.

Project Development Officer - Caritas

Caritas Portsmouth Project Development Officer

Caritas Portsmouth, part of the Catholic Diocese of Portsmouth is looking for a self-motivated, compassionate and community minded individual to join their team as a Project Development Officer. Based in Southampton and Havant, this role is to support the development of parish-based social and environmental projects to help people who are struggling with financial insecurity, social isolation, are seeking sanctuary or are victims of Modern-Day Slavery. Typical projects include warm spaces, social groups, cooking/gardening sessions and holiday clubs helping to strengthen links within communities to help those in need.

In this role you will

  • Develop and nurture relationships within local parishes and other support organisations.
  • Support the set up, delivery and evaluation of social or environmental action projects within a parish setting.
  • Help recruit and manage volunteers.
  • Research, organise or support local fundraising activities.

 

This is a fixed term contract role running until end of June 2025. We are happy to consider part time (including school hours) or flexible working for the right candidate. The salary is £25,000-26,000 (or FTE) depending on experience.

Data Protection Lead, Portsmouth

We are seeking a Data Protection Lead to join our team and help us ensure that we comply with the relevant data protection laws and regulations, and respect the privacy and dignity of our clergy, staff, and volunteers.

As the Data Protection Lead, you will be responsible for:

  • Managing all day-to-day data compliance, including data breaches and responding to data subject requests
  • Providing a responsive, high-quality service to colleagues across the organisation, responding to GDPR and record management and providing regular guidance through internal media channels.
  • Developing and delivering training, workshops and personalised support to parishes and teams across the organisation to improve data protection compliance and record management across the charity
  • Making recommendations to ensure risks are mitigated as well as ongoing compliance,

You will be working with the Head of Governance to review and develop data protection policy and practice across the organisation including supporting the implementation of relevant policies, processes and procedures, maintaining an appropriate review cycle.

This is a full-time, permanent position, based at the main office in Portsmouth. The salary is £35,000-£37,000 per annum, depending on experience and qualifications.
